Export, correct or delete your data

Step by step instructions for getting a copy of your data, correcting it, deleting records, disconnecting an integration, and closing a Falconzo account.

What this page is for

This page tells you exactly how to get a copy of your data, correct it, delete parts of it, or delete all of it. Most of it you can do yourself in a few clicks. Where a request has to come to us, the instructions are below.

Export a copy of your data

You can export your records from Falconzo as CSV files while your account is active.

  1. Open the list you want to export, such as contacts, companies, leads or deals.
  2. Apply any filter you want the export to respect.
  3. Choose Export from the actions on that list.
  4. The file downloads as CSV, which opens in any spreadsheet tool.

Export each list you care about before you close an account. If you need a copy of something that is not available as an export, ask us at [Privacy contact email] and tell us which account it relates to.

Correct information

Any user with permission to edit a record can open it and change the values on it. Corrections take effect immediately, and the change is recorded in the audit log along with the previous value, so your team can see what was changed and by whom.

To correct your own account details, such as your name or email address, use your account settings. If you cannot sign in, write to [Privacy contact email].

Delete individual records

Open the record and choose Delete. This works for contacts, companies, leads, deals and records of your own custom object types. You need the right permission to delete, so if the option is not there, ask an administrator in your organisation.

Deleting moves the record to the trash. It stops appearing in your lists, searches and reports, and someone with permission can restore it from the trash if it was deleted by mistake. That is deliberate, because the most common deletion is an accident.

It also means a deleted record is still held by Falconzo until it is removed for good. If you need records erased permanently rather than moved out of sight, email [Privacy contact email] with the subject line Data deletion request, saying which records or which people they concern. We will confirm when it is done.

Disconnect an email or messaging integration

You can disconnect any connected mailbox or messaging channel yourself, at any time.

  1. Go to Settings.
  2. Open the email connections or the messaging channels area, depending on which one you want to remove.
  3. Find the connection and choose Disconnect or Remove.

What disconnecting a mailbox removes

  • The stored credentials for that mailbox, which are deleted. Falconzo can no longer reach the mailbox.
  • Synchronisation stops immediately.
  • The mail threads and messages that Falconzo synchronised through that connection, which are removed along with it.

What it does not do:

  • It does not change anything in the mailbox itself. Your mail stays with your provider exactly as it was.
  • It does not delete CRM records created while the mailbox was connected, such as contacts, notes, tasks or deals. Delete those separately if you want them gone.

You may also want to remove Falconzo's access from the provider's own account settings, where connected applications are listed.

Deleting WhatsApp, Messenger and Instagram data

This section is the instruction to follow if you want the data Falconzo holds from a Meta messaging connection deleted.

To delete it yourself:

  1. Sign in to Falconzo.
  2. Go to Settings and open the messaging channels area.
  3. Find the WhatsApp number, Facebook page or Instagram account you want to remove.
  4. Choose Remove.

Removing the channel deletes the stored credentials for it and the conversations and messages Falconzo received on it, including message text, the participant identifiers supplied by the provider, and the attachment descriptors attached to those messages. It does not delete anything inside WhatsApp, Facebook or Instagram, and it does not delete leads or contacts that were created in your CRM from those conversations. Delete those records separately if you want them removed.

If you only want messages to stop arriving without losing the history you already have, pause the channel instead of removing it.

If you cannot sign in, or you are the person who messaged a business and you want your conversation data removed, email [Privacy contact email] with the subject line Data deletion request. Tell us which channel it concerns (WhatsApp, Messenger or Instagram), the business you were messaging, and the phone number or account name you used, so that we can find the right conversation. Because the business you messaged decides what it keeps about you, we will also pass your request to them.

Delete your whole account

Closing an account removes the organisation and everything inside it. There is no undo, so export anything you want to keep first.

  1. Export the data you want to keep, as described above.
  2. Disconnect any mailboxes and messaging channels.
  3. Email [Privacy contact email] from the address on the account, with the subject line Account deletion request.
  4. Include the details under what to include in a request.
  5. We will confirm the request with the account owner before anything is deleted, because closing an account affects everyone who uses it.

After an account is closed we retain the data for [Data retention period] and then delete it, apart from records we are required by law to keep, such as billing records.

What to include in a request

Send requests to [Privacy contact email] and include:

  • A clear subject line: Data deletion request, Data export request or Data correction request.
  • The email address on the Falconzo account, or the organisation name if you are not sure.
  • What you want done: a full account deletion, a specific integration, or particular records.
  • Enough detail to identify the data. For a conversation, the phone number or account name and the channel it came in on. For a record, the name and email address on it.
  • If you are asking on behalf of an organisation, confirmation that you are authorised to do so.

Send it from an address we can tie to the account where you can. If we cannot confirm who you are, we may ask for more information before acting, because deleting data on the word of the wrong person is worse than a delay.

What to expect

  • We will acknowledge your request when we receive it.
  • We will tell you what we can do, what we cannot, and anything we are required to keep.
  • We will confirm when the work is done. Deletion of a whole account is confirmed with the account owner first.
  • We handle requests as quickly as we reasonably can, and within any time limit the law that applies to you sets. This page does not promise a specific number of days, because the honest answer depends on the request.

There is no charge for a reasonable request.

If you are not a Falconzo customer

If a business stores your details in its Falconzo account, that business decides what it holds about you and why. We store it for them. The fastest route is to contact the business directly and ask them to correct or delete your record, which they can do immediately.

If you do not know who to contact, or they do not respond, write to [Privacy contact email] with whatever you know: the name of the business, the email address or phone number they hold for you, and what you want done. We will pass the request to the account we can identify and tell you that we have.
